Suffolk University is seeking applications for the Marketing Operations Coordinator position.The Office of Marketing & Communications (OMC) is Suffolk's in-house marketing and communications group.
OMC consists of a staff of professional strategists, writers, designers, art directors, and multimedia producers offering a depth of expertise in a variety of media. We produce over 500 printed and digital projects each year ranging from posters, brochures, and invitations to Web content, social media strategy, and video and digital communications.
OMC understands and manages the University brand and its accompanying standards. Working in partnership with our campus clients, we develop integrated strategies to achieve the marketing and communication goals of individual academic and administrative units and the University as a whole.

The Marketing Operations Coordinator is responsible for the administrative and operational functions of a fast-paced, deadline-driven department. These include, but are not limited to, meeting preparation, scheduling, maintaining project files, report generation, budgeting, purchasing, presentations, and internal communication. The position reports to the Director of Advertising & Analytics, and will regularly interface with the Chief Marketing Officer.
Prepare and/or update data-driven marketing and budgetary reports, under the direction of the Director of Advertising & Analytics
Serve as the office liaison to the business office and manage business processes, including corporate card reconciliation, creation of contracts, purchase orders and check requests, vendor set-up, expense reporting, and invoice processing
Manage the departmental budget, and assist in planning and preparation of annual budgets
Drive internal communications, including marketing announcements in Inside Suffolk
Update and maintain the departmental status report and workflow management system, ensuring deadlines are being met
Manage the university ESP and corresponding billing
Organize/file paperwork, marketing samples, and job jackets
Serve as the first point-of-contact in the marketing office, greeting students, faculty, administrators, alumni, and vendors
Coordinate multimedia shoots and maintain file of photo release forms
Order office supplies and equipment and maintain inventory
Schedule departmental appointments, meetings, and travel
Provide administrative support to the Chief Marketing Officer
Assist in meeting preparation, including preparation of agendas and follow-up reports
Maintain general department email account and Google calendar
Proofread as necessary
Assist with special events as needed, including Commencement
Qualifications and Attributes of the Successful Candidate:
Bachelor's Degree in marketing, communications, or equivalent, with at least one year of work experience
Strong written, verbal and presentation capabilities
Highly organized and resourceful
Ability to manage multiple priorities and work in a fast-paced environment
Experience with project management and budget software
Experience using Google Analytics
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to work collaboratively and take initiative
Excellent customer service skills
Experience in higher ed and/or agency environment a plus
